Know the rule and prepare for the front desk
Chinese authorities have said that hotels must not use a supposed lack of foreign-guest qualification as a reason to turn overseas travelers away. A 2024 multi-agency policy also called on booking platforms and accommodation operators to remove improper restrictions and improve registration service. The old idea that only a special class of hotel may host a foreign passport is not a sound booking rule.
Check-in problems can still happen. Staff may be unfamiliar with foreign passports, and some branches have limited overnight support. The policy can help you explain the requirement, but does not guarantee trained staff will be available at midnight. Get written confirmation and keep the booking platform's support details accessible.
Choose the property for the arrival on your itinerary. A staffed hotel with recent international-guest reviews is a stronger late-night choice than an unattended apartment with a self-check-in message you cannot complete. Confirm the exact branch, because chains often have several hotels with nearly identical English names. Save the Chinese name, street address, phone number, booking reference, and map pin offline.
Read the cancellation terms before contacting the hotel. If check-in goes wrong, a non-refundable rate may leave you disputing the room charge. For a late flight or train arrival, consider whether a flexible first-night booking is worth the extra cost.

Get a useful confirmation before arrival
Send the property a short message through the booking platform. State that the guest will present a foreign passport, give the approximate arrival time, and ask the property to confirm that the front desk can complete the required registration. If you will arrive after the published desk hours, ask who will be present and how to contact them. A generic automated welcome message does not answer those questions.
Keep the wording simple. ‘I will check in at about 11.30 pm with a Canadian passport. Please confirm that this branch can complete passport registration at that time.’ Add any essential payment question separately. If the room has already been prepaid, ask whether the property still requires a deposit and which payment methods it accepts. Do not send a passport scan in an ordinary chat unless a lawful, verified process clearly requires it.
Wait for a reply that refers to the actual property and arrival. Save it offline with the reservation. When support answers on behalf of the hotel, ask whether the hotel itself confirmed the information. Platform support can arrange a rebooking, but it cannot operate the registration system at the desk.
Reconfirm when the arrival changes substantially. A property that expects you at 7 pm may mark the reservation as a no-show before a 2 am flight delay. Send the new arrival time through the same thread so the change and response remain attached to the booking.

Use the original passport at check-in
Bring the original valid passport connected to the reservation. Hotels must check guest identity and register accommodation information. Article 39 of China's Exit and Entry Administration Law places the hotel registration and reporting duty on the hotel when a foreigner stays there. A traveler checking into a hotel does not normally need to make a separate trip to the police station for that hotel stay.
Hand the passport to the front desk for the check-in process and stay nearby. Staff may scan or enter the document details required by the registration system. Ask when the passport will be returned if the process takes time. Do not leave the original at reception overnight simply because a desk worker says the system is busy. Request a manager or return at a specific agreed time while keeping control of the document whenever possible.
Show the reservation name and reference, then confirm the room type, number of guests, paid amount, and any amount due. Ask for a receipt for cash and for a clear explanation of any card authorization or deposit. A card hold and a completed charge can appear differently in a bank app. Keep the checkout receipt until the hold or refund is resolved.
Before leaving the desk, check the checkout time, whether breakfast is included, how to connect to Wi-Fi and how to use the lift or building entrance after hours. Get these details while staff are available, particularly if your phone has no data.

Ask about the deposit before paying
Ask the hotel how much it will authorize or collect as a deposit, which payment methods it accepts and when it releases the amount. Deposit amounts and release times differ between international chains, domestic chains, independent hotels and apartments. Fixed ranges from secondary travel pages do not establish a national rule.
A pre-authorization reserves part of the card limit. It may appear as pending even though the hotel has not completed a charge. At checkout, ask for a receipt showing the final room and incidental amount, and ask whether the original hold was released or converted. The issuing bank controls when the available balance visibly returns, so keep the paperwork if the hold remains after the hotel's stated period.
Cash deposits require a receipt. Check the amount before leaving the desk and return the receipt at checkout only after the cash is handed back. Mobile-wallet deposits should remain inside the hotel's normal merchant flow. Do not transfer a deposit to a staff member's personal account because a terminal is inconvenient.
Even with a prepaid room, you may owe local charges, breakfast changes, an extra-guest charge or a deposit on arrival. Read the booking's payment section and ask the hotel before traveling. Choose a first-night property that accepts at least two payment methods you can use.
If the front desk refuses check-in
Ask for the reason and keep the conversation narrow. If the desk says the hotel lacks a foreign-guest qualification, explain that national authorities have directed hotels not to refuse overseas travelers on that ground. Show the written confirmation and ask for the manager or the person responsible for registration. A translation app can help, but do not put the passport into an unverified chat or translation service.
If staff do not know how to complete registration, ask the manager to contact the local public-security registration support for the property. Give them a short time to resolve it while you contact the booking platform through your reservation.
Tell platform support that you are physically at the named property, the desk is unable or unwilling to check in a foreign passport, and you need either immediate confirmation from the hotel or a nearby rebooking without extra cost. Ask support to document the reason. Keep screenshots of the confirmation, the support case, and any replacement charge.
Safety and sleep come first late at night. If the property cannot resolve the problem promptly, move to a staffed fallback while the platform handles the dispute. Do not leave the original passport as a guarantee, and do not pay an unofficial fixer. For urgent immigration or registration questions, China's 12367 service is the official immigration hotline. Emergency services are for genuine safety emergencies, not a routine booking disagreement.

Register a private stay within 24 hours
For a stay outside a hotel, Article 39 requires you or your host to register with the public-security organ at the place of residence within 24 hours of arrival. This includes a friend's home, a privately rented apartment or another non-hotel address. Discuss registration before arrival because you may need the host's address and identity information.
From 21 September 2026, the NIA rolled out online registration nationwide for non-hotel stays, replacing the seven-area pilot. Use its official government-service website, NIA 12367 app, or WeChat or Alipay mini program. Online and in-person registration have the same legal effect; offline service remains available.
Arrange host assistance for the first registration. After identity verification, use Accommodation Registration under Foreigner Service and check Registration Record Inquiry after completion. If you cannot complete it online, contact 12367 or the local public-security service window or police station; an attempted submission does not establish completion.
Each move creates a new accommodation situation. Hotels report their own stays. A new private address may require a new registration. When the trip mixes hotels and private homes, keep the dates and addresses clear. Call 12367 when the official local process is unclear rather than relying on an old city-specific blog post.

Check the bill and keep your stay records
At checkout, review the final bill before authorizing payment. Match room charges, meals, and incidentals to what you used. Ask the hotel to correct an error on its own receipt rather than promising to sort it out through the card issuer later. Keep the receipt until any deposit hold disappears and any refund reaches the original payment method.
Check the room, safe, charging outlets, and passport storage place before handing back the key. Keep the Chinese address and hotel phone in your trip record for at least the next leg. Airlines, immigration support, insurers, or a lost-property desk may ask where you stayed.
If you need proof of accommodation for another official process, ask the hotel what registration record or lodging certificate it can provide. Do this before departure when the staff and system record are still in front of you. Do not assume an ordinary booking confirmation proves that the legal registration was completed.
